Job Details
The Parts Coordinator is responsible for locating, ordering, receiving, and verifying parts. This role also handles returns of incorrect or damaged parts and ensures timely credits are received.
Responsibilities
- Order parts from preferred vendors with a constant sense of urgency, confirming orders throughout the day and holding vendors accountable to delivery times.
- Inspect all parts for damage, quality, and accuracy, mirror-matching new parts to old parts within two hours of receipt.
- Follow up with vendors on all back orders and pending parts credits.
- Label all parts, exchange new parts with old on carts, and confirm arrival and correctness with technicians.
- Verify costs and discounts from preferred vendors, ensuring profit matching. Post accurate invoices in CCCone daily by 5 p.m.
- Return incorrect or defective parts daily, reorder as necessary, and process credits with no outstanding credits beyond 14 days.
- Actively participate in the morning production walk, providing estimated arrival times for outstanding parts.
- Engage team members to locate hard-to-find parts when needed.
- Maintain an organized workspace and parts carts, clearly tagged with RO/vehicle and customer information. Always use required safety equipment.
- Perform other duties as required to meet business needs.
Qualifications
- At least 18 years of age
- Valid Driver’s License
- Knowledge of auto body parts and ordering processes (PartsTrader, OpsTrax, CCCone)
- Experience working with multiple vendors and sourcing new suppliers
- Proficiency with estimating systems (CCCone, Mitchell Connect); strong organizational and detail orientation
- Excellent problem-solving skills and sense of urgency
- Ability to read and understand repair estimates related to parts fulfillment
- Effective independent and team working skills
Education & Experience
- High school diploma, GED, or technical school
- I-CAR / ASE certifications preferred
- 3 + years’ collision repair experience preferred
